Privacy Policy

How WedQuarter handles member information, private identity documents and platform records.

Policies & contents

Scope and contact

This notice applies to WedQuarter accounts, free talent discovery, direct booking tools, phone verification, optional document verification and support. WedQuarter currently has no active paid memberships and collects no platform subscription fee. Contact wedquarters@gmail.com with the subject Privacy request for access, correction, consent withdrawal or deletion requests. Include a profile reference; do not email identity documents, passwords or OTPs.

WedQuarter is the platform name. The legal operator, postal address and formally designated grievance contact must be confirmed by the operator; this notice does not identify an unverified company or officer. Applicable legal rights remain available regardless of that administrative information.

Information we collect

Account and profile information includes your name, sign-in identifiers, supplied phone and its verification status, email, profile type, city, age or birthday where supplied, business details, professional categories, rates, biography, availability, photos, portfolio files and social-media links. We also receive enquiries, job applications and resumes, bookings, contracts, messages, reviews and reports that you submit.

Mobile OTP verification records the verified phone number and relevant proof/time. For an optional blue-tick application, we collect your chosen government photo ID, PAN card and number, current residential address, consent and review records. If you choose Aadhaar, upload masked front and back images and enter only the last four digits; Aadhaar is optional and passport, driving licence or voter ID alternatives are available. Do not upload an unmasked Aadhaar copy. These documents and your residential address are private and are not shown to hiring members. Older unmasked records require masking/deletion remediation, including affected backups.

We process sign-in and activity records, timestamps, browser and device labels, coarse location supplied by the connection, timezone and relevant usage events for account security, service operation, support and ranking. Sign-in history and last-active status are recorded independently of optional analytics consent. Call and WhatsApp click records show use of a button, not the content or success of calls or external conversations.

Direct freelancer payment entries are member-supplied records; WedQuarter does not receive the underlying service payment. Historical or separately contracted service records, if any, may contain order, invoice, mandate and payment-reference information. The existence of such record types does not mean a paid membership is currently offered.

For mandatory account-policy acceptance, we retain your account/profile reference, account type, server-recorded acceptance time, accepted version, exact confirmation wording and a copy and checksum of the policy text. This records the acceptance actually given; legacy acceptance is never invented. Optional identity-review consent is collected separately.

Why information is used

We use information to create and secure accounts; publish permitted professional details; match talent and opportunities; operate calendars, bookings and contracts; deliver requested notices; review identities and reports; detect abuse; maintain backups; resolve support issues; and meet applicable legal obligations.

Optional marketing messages depend on the preferences and consent collected for that channel. Refusing marketing does not prevent use of ordinary account services. You can change available WhatsApp preferences in your account. Withdrawal does not undo processing already lawfully performed.

Identity-review data is used for its stated verification purpose, not public advertising. Aadhaar-derived offline data is restricted to verification; ordinary account and complaint evidence is handled separately for fraud or dispute enquiries. We do not sell identity documents or home addresses, or share them with other members for their own verification.

What others can see

Professional profile information and work samples may be visible to permitted directory viewers under current sign-in, approval and membership controls. Saved work/social links are visible to signed-in freelancers and approved businesses where supported. Contact access may depend on account approval and plan limits. Sharing a profile URL does not override those controls.

Business profiles are private under the current directory design. Messages, bookings, contracts and relevant project records are accessible to the parties and authorised staff as required for the service. Do not put confidential client details or identity numbers into public profile fields or portfolios.

Identity documents, PAN details and residential addresses are restricted to authorised review staff. They are not shared with hiring members. General legal-vault documents and unpublished policy drafts are restricted to full administrators. A phone-verification label means only that the OTP check for that number succeeded.

Profile reports are private moderation records. The reported member and ordinary directory viewers are not shown the reporter identity or submitted allegation through the reporting feature. Authorised moderators can review reports and take proportionate action; disclosures may still be necessary where law requires or a fair review calls for relevant information to be shared.

Service providers and disclosures

Hosting, database, storage, authentication, email, OTP/WhatsApp and configured AI providers process information needed to deliver enabled features. Providers and processing locations may change, subject to applicable safeguards and law. We do not promise that all data remains in India. Payment integrations may exist in the software but subscription checkout is disabled during free access.

When an approved business enables Wedreply, its connected Instagram enquiries, scoped contact identifiers, message history and voluntarily supplied lead details are processed to answer and manage that business’s enquiries. The business confirms its authority before enabling AI. Its saved brand knowledge and relevant chat context are sent to the configured AI provider; attachments require human review. AI replies can be mistaken and uncertain matters require human help. Active conversation, message and lead records expire 90 days after last conversation activity, with usage and error records expiring after 90 days by record time. Private tokens are encrypted server-side. Captured backups remain subject to controlled retention and lawful deletion handling.

When you use the support assistant, your question and relevant context may be processed by a configured AI service. Signed-in support conversations can be retained for authorised staff support and review. Avoid sharing identity documents, financial credentials or private client material in chat. Automated replies can be mistaken; obtain confirmation for important decisions.

Businesses may request optional AI help to draft or revise contracts. Only the contract draft and instructions they submit, together with platform guidance, are sent to our configured AI provider for this purpose. Review the notice and consent before using the feature. Remove identity numbers, banking details and confidential client information, and have authority to share any third-party information included. AI does not access identity uploads or other private records automatically, and cannot sign or send a contract. We record account-linked request times to limit misuse; sending a request does not guarantee that a suggestion is correct or legally sufficient.

We may preserve or disclose relevant information where legally required, to respond to a valid legal request, protect people or investigate suspected misuse. Any disclosure should be limited to the purpose and authorised recipient. External social-media sites and direct payments are governed by those services and the parties involved.

Storage, access and backups

The platform uses authenticated access checks, staff roles, private document endpoints and access/write records for sensitive administration. Downloads of private documents use no-store responses. These measures reduce risk but cannot guarantee absolute security, and downloaded copies are outside the website access controls.

Complete administrator backups include database records and stored uploads, including identity documents and private legal records. A backup is itself sensitive. Administrators must restrict downloaded copies and use the provided encryption tool before sharing or storing a portable copy outside controlled systems.

Records are retained while needed for the service, an unresolved dispute, security or an applicable legal obligation. Verification documents do not have a universal automatic expiry. The security-event and hosted backup limits in the security section apply to those records. Retention and deletion requests require review; financial, production, audit and saved-backup records may remain after ordinary profile removal. No specific retention period is represented as legally mandatory for every record.

Document images are prepared in your browser before upload. Small JPEGs within the upload limit are kept unchanged; larger or other supported images may be resized and JPEG-compressed. Check the prepared preview, especially text and QR codes. This is not a promise of mathematically lossless compression. No identity document is sent to an AI service for preparation.

Your choices and requests

You can edit supported profile fields, update communication preferences, and request access, correction, deletion or withdrawal of verification consent through the contact above. We may need proportionate information to confirm that the request is yours. Please use your registered account/email where possible. Rights and response duties apply to the extent provided by the law in force.

Self-deactivation removes the profile from ordinary discovery and currently offers a seven-day recovery period before scheduled permanent-profile cleanup. Active subscription mandates can prevent permanent cleanup until resolved. Administrator deactivation has a different recovery process. Profile removal is not an assurance that all third-party authentication records, financial records or existing backup copies have been erased.

Withdrawal of optional identity-review consent may require removal of the badge. Withdrawal of consent to store permitted Aadhaar offline data requires verifiable deletion and acknowledgement under the applicable Aadhaar rules. Any exceptional preservation requires a specifically identified legal basis; a general dispute label is insufficient. Staff must handle affected copies and prevent a later backup restore from silently reactivating deleted records. Contact support if an account control cannot complete your request.

You can read policies, contact support, withdraw optional communication choices, sign out or request account closure without accepting revised account terms. Account features require affirmative acceptance of the current terms. Acceptance receipts are removed with scheduled permanent profile cleanup; previously captured backups and independently retained lawful records may remain subject to the retention controls described above.

Cookies, children and changes

Essential browser storage and session technologies support sign-in, security and saved interface preferences. Optional measurement, where offered, follows its displayed choices; essential operational activity remains separate. Your browser can clear local storage, which may sign you out or reset preferences.

Accounts are for people aged 18 or over and authorised business representatives. Do not upload children’s or clients’ personal information without the appropriate authority and lawful basis. Report an apparent minor account to support.

Current policy text is available here; administrators retain the version history and publication dates. Material changes are published as a new revision. A later notice is not evidence of retrospective consent. Contact wedquarters@gmail.com with questions or complaints; statutory remedies remain available.

Signup, login security and referral information

WedQuarter records the connection IP address available from its trusted hosting edge at signup and login for security, fraud monitoring and investigation of reported misuse. IP addresses are encrypted in the application database and accessible only to full administrators. Shared IPs are review signals, not proof of wrongdoing, and do not cause automatic blocking.

During signup you may choose to share device location. Your browser asks permission before collection. Denial or unavailability does not prevent signup. Shared coordinates are rounded to approximately 0.001 degrees, stored encrypted with the permission timestamp and accuracy, and are not shown on your public profile. You can remove a shared location before submitting signup. Contact the privacy address for access or deletion requests.

IP security events and permission-based signup location expire from the active database after 90 days. Operational performance/error records expire after 30 days. Previously downloaded backups remain outside the platform controls; the hosted system retains the current completed backup and only the two most recent previous completed backups. Older copies are queued for permanent storage cleanup, and failed cleanup is retried.

Every current referral code uses the same six-character format: WQ followed by four uppercase letters or numbers. New codes do not contain your birth year. Previously shared codes remain aliases and may still reveal details included in their old format. Admins can disable codes and review attributed registrations.

Mobile verification is required during signup. For registered members, password login does not require another OTP by default. Full administrators may enable or disable mandatory OTP after password login in Security & login. Existing members can always choose Login using OTP. Phone-only sign-in is available only when a verified mobile number identifies one account. OTP verifies control of a number, not a person’s identity. OTP login grants use short-lived, secure session cookies lasting up to 12 hours; server records store a hashed session secret and verification reference. Expired sessions and attempt-limit records are removed by maintenance. Signing out revokes the current session. Changes to the verified phone or an account block invalidate existing sessions. Email security changes require password sign-in.

Optional booking-specific document sharing

Sharing is optional. Upload a new copy only if you agree to share it with the business named in this booking and authorised full administrators for booking security. You can decline, choose an alternative ID, or revoke future downloads. Existing verification uploads are never shared. Aadhaar must be masked to show only the last four digits; hide its QR code and unnecessary personal details. Downloaded copies cannot be recalled. The recipient must use the copy only for this booking’s security, keep it private and delete it when no longer needed. This is not government identity verification.

An approved business may request a new copy of one identity document for a specific pending or approved booking. A freelancer may decline or choose masked Aadhaar, passport, voter ID or driving licence. No existing blue-tick verification upload, PAN or residential address is transferred to the business. Earlier statements restricting verification evidence to review staff continue to apply to that separate evidence; this new sharing flow requires its own affirmative consent for each upload.

New shared copies are stored privately and can be downloaded only by the freelancer who shared them, that booking’s active approved business, and authorised full administrators. Requests, consent version, upload times and download access are recorded. The business sees the copy in that booking and Saved documents. Access continues for booking records until revoked or the relevant profile is deleted. Revocation stops future downloads and queues deletion of the hosted copy; downloaded or previously captured backup copies require separate handling. Contact support for an unresolved deletion request. File checks do not certify identity or detect all malware.

Optional event-writing assistance sends only the notes the business explicitly submits after consent to the configured AI service. It does not receive identity documents or account records. Suggestions require human review and do not save, send, confirm prices or accept bookings automatically.

Manual blue-tick approval — 9 October 2026

Blue ticks can be approved manually by an authorised administrator for a complete, separately consented document application. The recorded decision identifies the administrator, time and submitted application; it does not assert UIDAI or government authentication, an offline-signature check or a background check. For future badge decisions this notice supersedes earlier wording that made a signature-attestation form or offline-signature verification a prerequisite to this limited platform badge. Required documents, PAN details, address, privacy protections, alternative IDs and consent withdrawal remain in place. Earlier approvals and consent records are not rewritten. Any separately undertaken Aadhaar offline verification remains subject to its applicable lawful process and official digital-signature requirements.
